  • 2024 CAMP BRIMACOMBE TERMS & CONDITIONS

    1. SUMMER CAMP REGISTRATION
    Full payment must be received by the specified deadline(s) in order to take advantage of any pre-summer savings. Applications are processed on a first-come, first-serve basis, based on availability and must include a complete application form, payment, waiver and health and safety forms.

    2. LIABILITY WAIVER
    Each camper must have a completed and signed Brimacombe Summer General Waiver upon purchase. The camper’s spot will not be held until a completed waiver has been received by Guest Services at the Main Office. As all campers are under the age of 18, we require a parent/legal guardian signature on their waiver.

    DISCOUNTS
    Member Perk Discount: As part of Brimacombe’s Member Perks Program, Campers who hold a 2023/24 and/or 2024/25 Membership at Brimacombe save $10 off each week of enrolment in Summer 2024.

    To qualify for these savings, the camper must be an active member in good standing for the season preceding the summer camp or have paid in full for the upcoming season following the camp, at the time of camp registration.

    Please note, Night Season Passes and Magic Passes are not classified as memberships and do not qualify for Member Perks. Your membership status will be verified in our internal database upon submission. The Member Discount cannot be combined with Camp Alumni Discount or any other promotional offers.

    Camp Alumni Discount: Campers who have attended Camp Brimacombe in previous summers are eligible for $10 off each week of enrolment. The Camp Alumni Discount cannot be combined with the Member Perk Discount or any other promotional offers.

    Multi-Week Discount: Campers who attend 3 or more weeks of camp will receive $10 off per week. The Multi-Week Discount can be combined with the Member Discount or Alumni Discount and most promotional offers. Some exceptions may apply.

    4. SPECIAL REQUESTS & GROUPING
    While we try our hardest to accommodate requests, we cannot guarantee group/friend requests. The request to be placed in the same group as another specific camper must be included on both campers’ application forms, or submitted via email by each campers' parent/guardian, representing a mutual agreement. Camp Brimacombe develops groups based on a multitude of factors, including age, developmental levels, and friend requests. We'll make all efforts to ensure that campers are placed in groups with their friends, but children who are from different age groups will be separated in order to ensure age appropriate activities and programming. In order to maintain the ratios that we have committed to upholding, our groups also have a maximum number of camper spaces per group. Finally, we also ask parents/guardians to recognize that some friendships have the potential to interfere with a successful group dynamic. In the rare event that this occurs, we will work together with the families of affected children to achieve a reasonable solution. Camp Brimacombe reserves the right to reassign and separate group members or remove campers if an appropriate program is not available.

    Please note, siblings will not automatically be placed in the same groups. Please submit a friend request if you wish for similar-aged siblings to be placed in the same group.

    5. CAMPER CONDUCT
    Camp Brimacombe reserves the right to implement an established process and/or suspend and/or remove any camper from camp, without refund, who violates the camper Code of Conduct based on the following guidelines: zero tolerance of physical or psychological abuse/ bullying; respect for camp property and the property of others; behaviour that requires supervision beyond a reasonable level.

    Campers are expected to conduct themselves in a respectful and courteous manner towards staff, other campers and their natural surroundings. We encourage parents/guardians to go over Camp Brimacombe’s Safe Camp Commitment and Anti-Bullying Commitment with their campers, as well as discuss proactive strategies for how to ensure cooperation and inclusion between other campers.

    Our expectations will be discussed with each camper on the first day of camp and on an ongoing basis. Any camper found to be intentionally and consistently disregarding these expectations will be removed from camp for the remaining day(s)/week(s) enrolled. Campers who persist in behaviour that is dangerous to themselves, staff and/or other campers, or adversely affects the quality of the camp program and surrounding environment, may be requested to leave the Camp program for the day and/or remaining week(s) enrolled. No refunds will be issued if a participant is dismissed from program.

    Parents/Guardians agree to assume financial responsibility for any and all damages intentionally caused by their camper to camp property and/or the property of others.

    6. CAMP CANCELLATION
    Camp Brimacombe reserves the right to cancel part or all of a program prior to the start of the program due to lack of enrolment, staff changes, COVID-19 restrictions or other considerations. In the unlikely event of a program cancellation, a choice of an alternative program or pro-rated refund will be provided. Camp Brimacombe strives to provide parents/guardians with as much advanced notice as possible concerning cancellations so that you have the opportunity to find alternative camp arrangements.

    7. PROGRAM CHANGES
    Program content may vary from the description advertised.

    8. LATE ARRIVALS & MISSED CAMP DAYS
    Campers who miss the designated drop-off time must wait in their vehicle. In the designated alternate drop-off zone, a phone number will be posted for you to call a Camp Brimacombe Team Member who will meet you at your vehicle to take your camper to their respective groups. At times, this process may involve a brief waiting period, we appreciate your patience as we ensure the care and safety of all those on the property. Camp Brimacombe is not responsible for missed camp time due to arriving late.

    There will be no discounts, refunds or carryovers for missed camp days.

    9. LOST/STOLEN ITEMS
    While every reasonable effort is made to safeguard campers’ belongings, the camp will not be held responsible for the loss of, or damage to campers’ belongings while at camp. Please report any lost items immediately to Brimacombe Guest Services at guestservices@brimacombe.ca or 905-983-5983.

    10. WEATHER CONDITIONS & SUN SAFETY
    Camps are run outside rain or shine, unless there is severe weather, so we ask campers to dress and pack appropriately. All campers are asked to bring a hat and a lightweight long-sleeved shirt to camp. It is asked that sunscreen be applied prior to drop off at camp, and a labelled sunscreen bottle be sent to camp with the camper. On some days, it may be necessary for campers to bring rain boots, umbrella, splash pants, change of clothes, etc. and to dress for the weather conditions and the nature of the activities they are participating in. As part of our programming for daily outdoor activity, activities will take place outside even if it’s raining.

    Staff will reapply sunscreen with campers after water play and as needed throughout the day. Campers must come to camp with their own sunscreen and bug spray. These items cannot be shared between camp groups; therefore, siblings will not be able to share sunscreen/bug spray. Children will receive frequent water breaks throughout the day. Please send your camper with a reusable water bottle. During camp, if severe weather should occur, camp staff shall adjust schedules and make appropriate arrangements to ensure the comfort and safety of all participants. In the case of hot weather, staff will modify camp activities in order to promote the health and safety of all campers. This will include frequent water breaks by drinking and refilling water bottles, and the adjustment of activities to shaded and cooler areas. These precautions will allow campers to enjoy a fun and safe camp experience even during the hottest days.

    11. COVID-19 & COVID-19 VARIANTS
    Camp Brimacombe reserves the right to make changes to operations and policies due to COVID-19 and/or its variants. An inherent risk of exposure to COVID-19 exists in any public place. COVID-19 is an extremely contagious disease that can lead to severe illness and death, especially for senior citizens and individuals with underlying medical conditions. By visiting our facility, you voluntarily assume all risks related to exposure to COVID-19.

    12. LATE PICK-UP
    Please note, if your camper is not picked up by 4:45 p.m., Camp staff will maintain supervision until such time as duty of care can be transferred to an authorized individual. A charge of $15 per 30-minute increment will be applied for the first occurrence, and camp staff will further review the late pick-up policy with you, at the time of pick-up.

    13. REFUNDS/TRANSFER POLICY
